- Your name, email address, telephone number and postal address.
- Your organisation, role and professional contact details.
- Project information, including locations, drawings, specifications, budgets, programmes and access arrangements.
- Messages, enquiries, quotations, contracts, invoices and records of our communications.

Please do not send sensitive personal information unless it is genuinely necessary and we have agreed an appropriate way to receive it.

How and why we use information
We use personal information to:
- Respond to enquiries, understand a proposed project and prepare quotations or recommendations.
- Enter into and perform contracts, deliver services and communicate about ongoing work.
- Coordinate with clients, authorised representatives, designers, contractors, consultants and suppliers.
- Maintain project, accounting, safety, certification and warranty records.
- Protect our website, systems, clients and legal rights.
- Improve our services and, where permitted, keep relevant business contacts informed about our work.
Our lawful bases will usually be taking steps before entering a contract, performing a contract, complying with a legal obligation, or pursuing our legitimate interests in operating and protecting the business. Where consent is the appropriate basis, you may withdraw it at any time.

Confidential projects and NDAs
We regularly work with private or commercially sensitive project information and are accustomed to signing non-disclosure agreements. Drawings, addresses, access details, photographs and other project information are limited to those who need them for the authorised work. We do not publish client or project details without permission.
06
How long we keep information
We keep personal information only for as long as it is needed for the purpose for which it was collected and to meet legal, tax, insurance, warranty and contractual requirements.
- Enquiries that do not become projects are normally retained for up to 24 months after the last meaningful contact.
- Project, customer, contractual and financial records are normally retained for up to seven years after completion or the end of the relationship, unless a longer period is required for a specific legal, insurance or warranty reason.
- Marketing preferences are kept until you opt out or after a reasonable period of inactivity.
- Routine website security logs are retained in line with the hosting provider’s operational schedule and deleted when no longer needed.
Information may be kept for longer where a dispute, legal claim or regulatory obligation requires it.
07
Security
We use proportionate organisational and technical measures to protect personal information against loss, unauthorised access, alteration or disclosure. Access is restricted to people who need the information for their work. No internet or email system is completely secure, so please contact us before sending particularly sensitive or confidential material.

Depending on the circumstances, UK data-protection law may give you rights to:
- Ask for access to your personal information.
- Have inaccurate or incomplete information corrected.
- Ask for information to be deleted or its use restricted.
- Object to certain uses, including direct marketing.
